Spelling out Conditions
Overview
Conditions, for lack of a better word, are payment terms, estimated delivery, how long prices are valid - pretty much anything you need to tell the customer beyond the bare product description and prices. Some conditions are boiler-plate (Morning Flight's "memo clips"), others you write free-form to fit the estimate. In this chapter, we'll look at both.
1.From the main menu, click the Estimator button.
2.If you're creating a new estimate, click the Add button. To change conditions in an existing estimate, highlight the estimate you want to edit, then click the Update button.
3.In the window that opens, click the Remarks tab.
Free-Form
Every estimate has an opening message (the first box) and closing remarks (the second box). The text in the two boxes is automatically imported from defaults in the memo clips library. Any changes you make here will not affect the original text in the library. For instance, to extend the validity of the above estimate from 30 days to 60, simply double-click "30", type in 60, and click OK. The estimate will say 60, but the library clip will remain at 30.
Boiler Plate
You can choose to either replace the entire text in each box with another memo clip, or insert a memo clip into text that's already there. To replace the text, click the button to the left of the box. In the window that opens, highlight the memo clip and click OK. The clip you highlighted will replace the text that's in the box.
To insert a memo clip into text that's already there,
1.Click the button to the left of the box. In the window that opens, highlight the text you want to insert, then click the Paper Clip button.
2.Back in the estimate window, position the cursor where you want to insert the text, then press Ctrl-V to paste it from the Windows clipboard.
